Expense Inbox
Collect receipts and bills in one place — by email or upload — and turn them into expenses later.
Why the Expense Inbox?
The Expense Inbox is a mailbox for documents that aren't expenses yet. It separates collecting from recording: your team drops receipts in as soon as they have them in hand, and you post them later in one go.
You'll find it under Expenses → Expense Inbox, or directly at https://app.blond.swiss/expense/inbox.

Send documents in by email
Every user in your organization has their own personal inbox address. It sits at the top of the Expense Inbox and can be copied with one click. Just forward invoices there as an email — Blond pulls out the attachments and files them in the inbox.
Warning
Treat your personal inbox address as confidential. Anyone who knows it can send files into your inbox.
Not every email makes it into the inbox. Three rules apply:
- Only PDF, JPG, PNG, WebP and HEIC files are accepted; all other file types are ignored
- If an email contains both PDFs and images, only the PDFs are taken
- Emails without attachments aren't processed at all
Upload documents
Upload lets you pick files, or you can drag and drop them straight onto the list. Several files at once is fine.
Before the upload, Blond asks for a description and optionally for a project.
Note
The description is only mandatory for team members who aren't allowed to record expenses — it's their only way of telling you what the document is about. Anyone who can record expenses themselves may leave it empty.
AutoScan in the inbox
With AutoScan for expense inbox enabled, Blond reads the document's data on arrival — not only when you convert it. Recognized documents carry a purple sparkle badge on the corner of the document preview; the list shows the supplier and amount right away, and opening one also reveals the date and VAT.

You'll find the toggle under Organization → Settings → Expenses.
TIP
AutoScan has a free monthly quota. If lots of documents land in the inbox that never become expenses, scanning them on arrival burns quota for nothing — in that case it pays to leave the toggle off.
Turn a document into an expense
Click the + symbol on a document and choose what it should become:
Bill: An invoice that still has to be paid.
Receipt: An expense that's already paid. You pick the matching payment method straight from the list — type and payment method are set in one click.
Blond creates the expense and opens it for review. The document disappears from the inbox.
Note
If an email has several attachments, the + menu first asks which attachment should become the expense. Each attachment becomes its own expense.
Decline documents from your team
If someone on your team uploaded a document you can't post, decline it with the ban symbol. You can give a reason — the person is notified by email and gets the document back as an attachment.
On your own documents, the same spot shows a bin instead: delete rather than decline, with no notification.
TIP
The All / Only mine filter in the top left hides other people's documents. That's worth using when several people file into the same inbox.
